The following outlines how to carry out various functions on the Retail 365 tills

How to Complete a Sale

  • Scan the item or items
  • To complete the sale select the correct tender option as shown below and the sale will complete.

  • The Sub Menu will display All Other Payment Options i.e. Misc. Cash, Cheque, Credit card, Voucher etc.

  • Select the payment type, enter the amount tendered or press return to accept the given amount.
  • Press StaffRoleConfig.png to Complete the sale

How to Complete a Non-scan Sale

To sell a product or service that does not have a barcode we can use the Non-Scan button on the Till:

  • Sign In to the Till
  • Press the Non-Scan Button

  • Select the appropriate button, key in the price of the product and press return

How to Suspend a Sale

  • Hit the suspend button on the right hand side of the screen
  • Press Suspend current sale, then Yes to message

  • To Pick up a suspended sale, sign in, press SUSPEND and select PICK UP SUSPENDED SALE

How to view your Suspended Sales on the till

  • Go to EPoS Manager
  • Sign in Using your user name and password
  • Select StaffRoleConfig.png
  • Press StaffRoleConfig.png
  • A list of suspended sales will be displayed
  • Press thumbs down to close the screen.
  • To remove these suspended sales you will need to get each clerk to log in and void the suspended sales.

How to void items in a Sale

  • To void an individual item, highlight the item to be voided using the arrows and press the small Thumbs Down button

  • To void an entire transaction press the big Thumbs Down button

How to Complete a Price Over-Ride

  • To change the price of a product, press the Price Over-Ride Button

  • Key in the new price, using the keyboard and press Enter

How to Increase the Amounts of Products being sold

  • To sell more than one item scan one product
  • Press the + button to increase by one or the +10 to increase in quantities of ten

Percentage Discounts

There are two methods of performing percentage discounts with 365

  • Manually entering the required Percentage Discount
  • Using Preset Discounts

Manual Discounts

  • Scan the items to be sold
  • Press the Discount Button, enter in the percentage to be applied in the keypad that appears and select Enter

  • The highlighted item will now be discounted

  • To apply Discount to all Items, press the ALL button and Yes to the message

Preset Discounts

  • To set up preset discounts on 365 see Discounts
  • Once your discount has been set up and sent the till you can now open the till and Click discount
  • The panel displayed below will appear containing any preset discounts that have been previously set up on 365

Flat discounts

  • Scan in the items to be sold
  • Click on the SUB Button
  • Press StaffRoleConfig.png
  • Enter in the amount to be deducted, Complete the sale as normal

How to Complete Negative Sales

  • In EPoS Manager, select Terminal Configuration to “Allow Negative Sales” or “No Negative Sales”
  • The default setting is to allow negative sales.
  • Press StaffRoleConfig.png
  • When this option is set to ‘disallow negative sales’, then if the total sale amount (the value in the 'amount due' box) is less than zero then the completion of the sale is disallowed with an appropriate message to the user.

Refunding Items on the Tills

  • Scan the item to be returned
  • Press the - Key

  • Press OK to the message “Return 1 Item” Sales

  • Signature Facility for Returns

  • If there is a sale on the POS where a product/line has been returned as part of that sale, then the POS generates two receipts and each receipt having a place for the customer’s signature.

Price Lookup

  • Press the StaffRoleConfig.png button
  • Scan in a product and check it's price
  • Repeat Step one for the next product and so on

Product Search by text

  • Go to the Product Lookup Screen on the till
  • Change the Scan button to Text by clicking on it

  • Type in the Word you are looking for E.g. Paracetamol

  • Press StaffRoleConfig.png
  • A list of Products with the word Paracetamol in the description will be displayed.

  • Use the arrows to scroll up and down through the list

  • When the item you want to sell is highlighted press StaffRoleConfig.png

  • Press the Go! button (the system searches for all product codes and product descriptions containing those characters. You just continue clicking on the Go! button until the product you are looking for is displayed. You may also use the > button to browse through the products.)
  • To limit your search Type in part of the first word then part of the second word . between the words e.g. Solp.Caps The system will display the first product it finds with the words Solp and Caps in the description
  • When a product is displayed on this screen, you may transfer this product to the sales screen by clicking on the button labelled StaffRoleConfig.png
  • If you stay in the LOOKUP screen you can start a new search by just clicking on StaffRoleConfig.png
  • To exit, press Cancel

Creating a basket on the till

  • On each till there will be the ability to create and hold baskets/hampers, subsequently selling them at a later date. To activate the baskets facility you must first go to EPoS Manager, click Terminal Configuration and Click on Basket Hold OFF. This will now read Basket Hold ON

  • Press StaffRoleConfig.png to save

  • This Utility is available on each till. Each till has the ability to create up to 99 Baskets. If a basket is created on one till it may not be collected and paid for at another. It is clearly visible on each basket receipt, which till it was created at
  • Create a basket
    • Log into the sale screen of the till
    • Scan the items to be put into the basket/hamper
    • Press HOLD BASKET
    • Then YES to save the new basket
    • Two receipts will be printed one to be attached to the basket and the other
    • Two receipts will be printed one to be attached to the basket and the other for the customer to collect the basket subsequently (if the Basket is not for a specific customer the second receipt is of no relevance on this occasion)

Selling a Basket

  • Go to the till that the basket was set-up on. (The Basket number and Till number are displayed on the top of the receipt)
  • Log into the sale screen
  • Press Sell Basket
  • Press the basket number; the contents of the basket are displayed on the sale screen
  • You may amend the contents or add more if required to the sale at this point
  • Total the sale as normal.

Selling a Hamper

  • Hampers differ from Baskets in that they are set up on Retail 365 and transmitted to the tills. See the Hampers module for this

  • All hampers set up in a shop are, therefore, available on all sales terminals

  • Press Sell Hamper

  • Press the hamper number which 365 assigned to the hamper

  • The contents of the basket are displayed on the sale screen

  • You may amend the contents or add more if required to the sale at this point

  • Total the sale as normal

Customer Accounts on the Sales Terminal

  • There are two different options when using accounts in 365

    • You can use the 365 online account system
    • If you have TouchStore Rx you can also use the Touchstore RX accounts
  • In order to select which accounts you would like to use you need to activate one of the account systems on EPOS Manager (NOTE 365 Online Accounts is the default account system).

  • In Epos Manager select Specify Accounts System

  • In the screen that appears Select the account system you wish to use and Click the Thumbs Up

  • A dialog box will then appear asking for a Code to complete these changes. You will need to contact TouchStore support for this Code at 061-225655

  • Once the code has been entered the below dialog box will appear. Click Yes

  • Your account system has now been successfully changed

Using 365 online accounts on the till

Doing a Credit Sale on the Sales Terminal

  • Scan the items to be sold onto the account
  • Select Credit A/Cs

  • You can now search the client in two ways

    • By entering part of the customer’s 8 digit account number into the first box (circled red)
    • By entering part of the customer’s name into the second box (circled yellow)

  • A list will now be displayed of all accounts matching the criteria entered

  • Select the required account which will then be displayed on the screen
  • Click Sell Now

Receiving a payment on account at the till

  • Log into the sale screen
  • Select Credit A/C's.
  • Search the customer’s account in the same manner as above
  • Select the box beside the customers chosen payment method
  • You can now enter the payment amount using the keypad
  • Select Enter
  • Select save which opens the till

  • Sign in to the Sales screen
  • Scan products or add items to the sale using Lookup.
  • Press the Credit A/CS button at the top right of the sales screen.

  • Enter the account information to find the account. You can either:

    • Enter the Account Number in the left hand box OR
    • Enter all or part of the Account Name in the right hand box
  • Press Account Search

  • If the Account Name you entered matches a number of different accounts, you will see a list of the matching accounts appear

  • Select the correct account from the list by pressing on it and then pressing Preview Highlighted Acocunt

  • Once the correct account is selected, you will see the Sell Now button.

  • Press Sell Now and the sale will be completed with all items being charged to the customer's account

NOTE:

  • If you attempt to sell into an account that has exceeded its credit limit (configured in the accounts module), the notification displayed below will appear

  • You will be unable to complete a sale into this account until the customer has paid a sufficient amount into the account

How to Pay In to an Account at the Till

  • Sign in to the Sales Screen
  • Press the Credit A/CS button at the top right of the sales screen

  • Enter the account information to find the account. You can either:

    • Enter the Account Number in the left hand box OR
    • Enter all or part of the Account Name in the right hand box
  • PressAccount Search

  • If the Account Name you entered matches a number of different accounts, you will see a list of the matching accounts appear

  • Select the correct account from the list by pressing on it and then pressing Preview Highlighted Acocunt

  • Press into the black Payment Amount box

  • Type in the amount you wish to add to the customer's account
  • Press Enter. The Pay-in button will now be available

  • Press Pay-in and you will be brought to the SUB screen. Note, if you didn't press Enter in the Payment Amount the Pay-in button will remain unusable

  • Enter the relevant values for the Tender Type(s) being provided by the customer as payment
  • Press Thumbs Up to complete the transaction

Using the Rx accounts on the till

When using Rx accounts with Retail 365 there are three different scenarios to be aware of

  • Completing a sale containing one or more prescriptions linked to the same account
  • Completing a sale with non-prescription products
  • Completing a sale with two prescriptions that are linked to different accounts

A sale containing one or more prescriptions link to the same account

  • Begin this by scanning your prescription(s) as a normal product. The price of your prescription will appear

  • As usual when selling into an account select ‘Credit A/CS’

  • You will be automatically linked to the customer’s account and the below notification will now appear ensuring that you wish to sell into an Rx accounts- Select Yes

  • The sale has now been completed

A sale with non-prescription products

  • Scan your products as usual and Select Credit A/CS to sell into account
  • Since there has been no prescription scanned you will not be directly linked to an account like before
  • As a result you must search for the account manually by entering part of the customer’s first or last name into the correct box. Click New Search

  • The account information will now appear

  • Click Sell Now

A sale with two prescriptions linked that are linked to different accounts

  • When a sale involves prescriptions that are linked to different accounts you must search for the account you wish to sell into manually
  • Therefore once the two scripts have been scanned you can complete the sale in the same way as above

Receiving a payment on account at the till

  • Log into the sale screen
  • Select Credit A/C's.
  • Search the customer’s account in the same manner as above
  • Using the keyboard enter the amount being paid into the account which will appear in the Payment Amount box
  • Click Enter
  • Select Pay-In

RVDs

  • Log into the Sale Screen at the terminal
  • Press the StaffRoleConfig.png button, there are 2 options available
    • Issue a pre-printed RVD
    • Issue and Print an RVD

To Issue a Pre-printed R.V.D.

  • Press StaffRoleConfig.png
  • Enter/Scan in the number on the pre-printed voucher into the RVD Number: section
  • The Value will be displayed
  • Press Continue
  • You will then be brought into the tender screen, complete the sale as normal

To Issue and Print an R.V.D

  • Press StaffRoleConfig.png
  • Enter in the amount into the Value section, press ENTER and the RVD number will appear

  • Press Continue
  • You will then be brought into the tender screen, complete the sale as normal
  • The first is the actual RVD, this will be placed in the specially designed presentation pouch for the customer
  • The second receipt printed is a store copy
  • The third receipt is the customer copy of the sale

To Refund an RVD

  • Press StaffRoleConfig.png
  • Scan in the barcode, press Continue
  • You will then be brought into the tender screen, complete the refund as normal

Redeeming an RVD as part of a Sale

  • Log into the Sale Screen at the terminal
  • Scan the items to be sold
  • Press the StaffRoleConfig.png button
  • Select StaffRoleConfig.png
  • Scan the R.V.D (it will be displayed in the section highlighted below) OR manually enter the number by using the keypad button, key in the number and press enter.

  • Repeat for additional RVD’s, all RVD’s will be listed, and a total displayed

  • To finish the sales, press the StaffRoleConfig.png button
  • The sale will be completed and a receipt printed
  • Note - If change is due you may wish to re-issue the change amount as a voucher. To do this go to Epos Manager and select Terminal Configuration. Click on the Change as Cash button to display Change as RVD

  • You will then be brought into the tender screen, complete the sale as normal (if change is due you may wish to re-issue the change amount as a voucher)

Cash Lifts

Cash Lifts are a security feature. Cash lifts are used to remove excess cash from the drawer in order to lodge or put in the safe. The money is accounted for at the end of day count and therefore does not need to be recounted during the end of day procedures

How to do a cash Lift

  • Sign into the till
  • Press, the drawer automatically opens
  • Enter the value of each payment type being lifted e.g. count the excess cash, enter the figure into the CASH box, press return
  • Press Save
  • A receipt will be printed, put the money into a bag, seal and staple the signed receipt to it, deposit into the safe or as required.

  • DO NOT REMOVE VISA OR LASER DOCKETS

Maximum Cash Alarm on Sales Terminals

  • A cash limit can be set on each terminal, when the cash in the till exceeds the Maximum Cash Allowed value then the clerk is messaged-

“The cash in this sales terminal has exceeded the maximum limit. Please ensure a cash lift is done immediately.”

  • To Setup, sign into EPoS Manager on the Terminal
  • Select StaffRoleConfig.png
  • Click down the StaffRoleConfig.png button so that it reads StaffRoleConfig.png
  • Insert the limit to be applied
  • Press StaffRoleConfig.png to save

Selling Not on File Products

  • Scan the product that has not previously been put on file
  • The notification displayed below will now appear and click Yes

  • The screen displayed below will appear allowing you to enter a Description and Price for the product

  • Click Sell This Item

  • Ensure the price you have entered is correct and click Yes to the notification that appears

  • Complete the sale as usual
