Here you will find details on how to view, create and edit Products on your system and how to maintain all of the various details related to your products.
Create a Product

To create a product on Retail 365 we can search/scan the barcode of the new product in the 365 main screen.

If the system does not recognise the barcode the dialog box displayed below will appear, allowing you to begin setting up the product

Click 'Yes, let’s create one!' and you will be brought to the Create a New Product screen, displayed below

Enter the information into the appropriate fields and click the 'Create' button

Please note that there is a Touchstore Master Product File which may contain your product. If it does contain your product, it will display the following message:
If you would like to import the product information press 'Yes, import the details'. You can edit any details after the import. If you would like to insert all product information press 'No thanks'

Once the product has been created you will be brought to the Product Maintenance screen which allows you to configure your product in more detail. (We can access this Product Maintenance screen at any time by searching the product name in the main screen)

As displayed below, the Product Maintenance screen is split into 8 different tabs
Product Page
When you scan a barcode into the top search bar, or type in a product name in the top search bar and select a product, or when you choose "Go to Product" from Advanced Search or Reports, you will be brought to the main Product Page for that product. This is where you can carry out Product Maintenance to update or view information about Products e.g. Cost Price, Preferred Supplier etc...
You can also carry out Product Maintenance in bulk using Advanced Search or Product Updates. Please see the relevant Help File sections for these modules.
Product Maintenance consists of a number of different pages relating to various areas of a product's information. Instead of throwing it all together in one confusing page, you can use the menu on the left hand side of the module to navigate through the various pages.
- General Information
This tab displays all the general, basic information that was entered when the product was initially entered i.e. Product name, Expected Mark-up, Supplier etc.
- Order Info
As displayed above, The Order Info Tab allows us to configure all ordering related settings for a particular product
- Pricing
This tab allows us to configure all price related settings for the product. The screen is divided into 4 sections, all of which are displayed below and for these we can
- Update Cost prices
- Add a New Cost Price
- Update the Retail Cost Price
- Apply a Special Offer to the Product
- Stock
This tab allows us to update and view, stock quantities in store, stock levels across other branches and stock movements between various stores
- Categories
This tab allows us to edit the group that the product has been assigned and assign a location to the product e.g. aisle 1 etc.
- Barcodes
This tab allows us to view any pre-existing barcodes
It also allows us to view the Touchstore Retail Product Code that Retail 365 has assigned the product. This code is essential when looking up the product by text on the till
- Advice
This tab allows us to insert and edit any advice messages to the product
- Alert
This tab allows us to insert and edit alert messages to the product
Create a Non-Scan / Open Key
If there is a product or service that you need to sell on your system but it does not have a barcode (or the barcode cannot be recognised by the Retail 365 system) you can create what are called Open Keys. These Open Key products will be shown on the Till when you press the Non-Scan button.
To create a product like this, create a product as normal. (You can find details on how to do this at the top of this page).

Once your product is created we can create the Open Key for it by going to the Barcodes section of the Product Page.
Scroll down to the Open Key / PLU Code section:
- In the box provided, type in a descriptive name for this product / service. DO NOT ENTER ANY SPECIAL CHARACTERS. ONLY ENTER A-Z and/or 0-9
- Click + Add
- Carry out a Product Export
N.B.: there is a limit of THIRTY SIX (36) total Open Keys in your system. If you need more non-scannable products than this limit please contact TouchStore Support and we will discuss the various options available to you.
