Advanced Search

This module allows stores to search, update and export products list's by applying various filters to your search.

AdvanceSearch

  • From your system Home Screen, click on the Advanced Search icon

  • From here you'll be able to make advanced searches with multiple filters.

Start with specifying if your search either:

  • Starts with
  • Contains
  • Ends with

  • Type in your search into the search bar

  • A list of products will appear which match your search

From here you can:

  • Print the list
  • Edit specific product(s)
  • Edit all products
  • Add filters

- Display different columns in search results

It is now possible to display different column in the results grid.

  • Press the column chooser button

  • This will display a list of different columns that can be added/removed to the results grid

  • Tick the columns you wish to display and press save changes.

  • To add a filter to your search, simply start with pressing the yellow 'Add' button

The filters now available in the 365 Advanced Search module include:

Filter Description
Advice Filter based on the Advice message(s) assigned to products. Choose one or more from the list of Advice messages set up in your system.
Alert Filter based on the Alert message(s) assigned to products. Choose one or more from the list of Alert messages set up in your system.
Cost Price Filter based on the Cost Price of products. Enter a value to find products Equal To, Less Than or Greater Than the value you've entered.
Created At Filter based on the Store where the product was created.
Created By Filter based on the Staff Member who created the product.
Date Active Since Filter based on the Date the products were last Active since. Enter a date and all products Active between that date and now will be shown.
Date Last Counted Filter based on the Date the products were last counted in a Stock Take. Enter a date and all products counted between that date and now will be shown.
Date Last Dispense Filter based on the Date the products were last Dispensed since. Enter a date and all products Active between that date and now will be shown.
GMS # Filter based on the GMS Number of products. Enter a value to find products Equal To, Less Than or Greater Than the value you've entered.
Group Filter based on the Group / Category assigned to products. Choose first the Level 1 Group and the, if needed, the Level 2 Group from your list of Groups / Categories.
Manufacturer Filter based on the Manufacturer(s) assigned to products. Choose one or more from the list of Manufacturer(s) set up in your system.
Pack Size Filter based on the Pack Size of products. Enter a value to find products Equal To, Less Than or Greater Than the value you've entered.
Pack Unit Enter the pack unit Choose one or more from the list of Pack Units set up in your system.
Primary Location Filter based on the Primary Location for the stock of your products. Choose one or more from the list of Stock Locations set up in your system.
Qty on Hand Enter a value to find products Equal To, Less Than or Greater Than the value you've entered.
Reorder Method Filter based on the Reorder Method assigned to products. Choose from Manual, Replacement and Replenishment.
Reorder Qty Filter based on the Reorder Qty against products for ordering. Enter a value to find products Equal To, Less Than or Greater Than the value you've entered.
Setup Date Filter based on the Date the products were Created in the system. Enter a date and all products created between that date and now will be shown.
Status Filter based on the Status of products. Choose from Active, Dormant, Inactive, Seasonally Discontinued and Discontinued.
Store Filter based on which Store's records you wish to view. This is only relevant in a group with more than one store.
Supplier Filter based on the Suppliers assigned to products. Choose one or more from the list of Suppliers set up in your system.
VAT Rate Filter based on the VAT Rate assigned to products. Choose one or more from the list of VAT Rates set up in your system.
  • From your System home screen, click on the 'Advanced Search' icon

  • Click the 'Add a Filter' button

  • Choose your desired filter
  • Choose the range

  • Once you have chosen your range, enter the value

  • You can add another filter by pressing 'Add a Filter'

Noteyou can click the AdvanceSearch button to remove any filter from your search

  • Once all the filters you wish to apply to your search have been selected, click

  • To clear all filters from your search click

The System also allows you to create your own personalised filter by combining various filters and save them as a new filter

  • To do this, select the filters you wish to use and click the 'Save Filter As..' button

  • You will then be asked to enter the filter name and your new filter will now be saved

  • To complete press the 'Save Filter' button.

  • From your System home screen, click on the 'Advanced Search' icon

  • Click the 'Load Filter' button

  • Enter the filter name.

  • Click the 'Load Filter' button to apply the filter

- Delete a Saved Filter

The System now allows you to delete a saved filter from the Advanced Search screen

  • From your System home screen, click on the 'Advanced Search' icon

  • Load the filter by pressing the 'Load Filter' button

  • Enter the name you have previously assigned the filter in the search bar that appears

  • Once the filter has been loaded it can be deleted by pressing the Delete Current Filter button

The System also allows you to edit multiple products from the Advanced Search screen.

  • From your System home screen, click on the 'Advanced Search' icon

  • Apply the appropriate filters to your search as detailed in the How to apply filter(s) to your search section
  • Once you have applied the filter(s) and loaded your list tick the box beside the product(s) you wish to edit.
  • You can choose certain products by ticking the box beside the product name

  • Alternatively, you can select all products that match your search by clicking the checkbox beside "Name"

  • To edit the selected product click the pencil icon highlighted in the image displayed below

Once you click 'edit' the 'Multi Product Quick Edit' window displayed below appears.

This screen allows you to change the number of fields.

These fields include the following:

  • Pack Size
  • Case Size
  • Supplier
  • VAT Rate
  • Expected Markup
  • Group
  • Status

N.B If you do not want to change a particular field, simply leave the field blank

Please Note: You can also press (KEYBOARD: E) to bring up the edit screen.

  • Once you have made any changes you can press the Update Products button to save the products.

- Print a list of selected products

It is now possible to print a list of selected products directly from the System

  • Begin by filtering the list of products you want to print from the Advanced Search screen as detailed in the How to apply filter(s) to your search section
  • Once you are satisfied with the list you have filtered press the Print button

There are some useful tricks you can use to make navigating through a long list of products in the Advanced Search module much easier.

These include:

  • The Search bar ā€“ You can now choose how you want to search for the product name: Starts with/Ends with/Contains.

    • Starts With: Your search will return the product name that starts with the entered text
    • Contains: Your search will return the product name contains the entered text
    • Ends With: Your search will return the product name ends with the entered text

Using your keyboard to navigate the Advanced Search panel

  • The up/down keys will take you up and down the list of products
  • If you are at the first record, pressing up will bring focus to the product search box
  • If the product search box has focus, pressing the down arrow will highlight the first product
  • When a product is highlighted you can press the ENTER key to go straight to that product
  • When a product is highlighted you can press the SPACEBAR to mark that product as selected
  • When 1 or more products are selected you can press the ā€˜eā€™ key to edit those products

You can also choose how many products you can view per page (25, 50, 75 or 100 products per page) using the drop-down in the top right corner of the 'Advanced Search screen'
