Creating Gift Cards

In order to use TouchStore Gift Cards in your store you will need two things:

  • Set up the Gift Cards in Retail 365 Back Office
  • Print the Gift Card numbers as a 1-dimensional barcode so that they can be scanned at the Till

To set up the Gift Cards Retail 365 Back Office:

  • Go to Config
  • Choose Gift Cards
  • Choose Create Gift Card

This will then show you the following screen:

The yellow message at the top of the screen states that the Gift Card Number must begin with 97xxxx, where xxxx is your unique store number for Gift Cards and Loyalty Cards. The Gift Card number must also be 16 digits long e.g. 97xxxx0000000001.

We recommend creating an Excel / Google Sheets spreadsheet with the first number you wish to set up e.g. 97xxxx0000000001 and then filling it downwards to increment the number so that you can keep track of which numbers have been used and which ones are still free. See example below:

For printing the Gift Card Number we recommend using a Linear Barcode in Code-128 format for printing on the Gift Cards themselves, this is to ensure that the code will be read correctly by most 1-D or 2-D barcode scanners. See example below:

When creating the Gift Card in Retail 365 Back Office, you can assign the relevant value to it when creating it. TouchStore Gift Cards can also be assigned a value at the Till, meaning that they can be topped up if needed, but also meaning that you could set up a batch of Gift Cards in Retail 365 Back Office with a value of 0.00 then get them printed and then the store can 'activate' them at the till by putting a balance on them.

Issuing a New Gift Card

If you wish to issue a new Gift Card from the Till:

  • Sign in to Sales Screen
  • Press Gift Cards on the left hand side of the screen:

  • Press Issue New Gift Card
  • Scan New TouchStore Gift Card
  • Type in the Value of the Gift Card
  • Press Enter
  • Press SUB button
  • Press YES to confirm the value of the Gift Card being issued
  • You are taken to the payment screen
  • Complete the Sale by taking the payment for the Gift Card

Please Note: You cannot sell any other product when selling a Gift Card. You cannot sell two gift cards in the one sale, they have to be sold separately.

Redeeming a Gift Card in a Sale

To redeem a Gift Card balance against a Sale:

  • Sign in to sales Screen
  • Scan product (s) to be sold
  • Press SUB Button to take Payment
  • Press Redeem ( bottom right of the Screen)

  • Scan TouchStore Gift Card
  • Press enter on the Keyboard
  • Press Thumbs Up to Complete. The system will take the full value available off of the Gift Card.

If there is still monies owed when you Press Thumbs Up then the screen will tell how much extra is required. You can then take the extra payment and press Thumbs Up to complete the sale and keep the Gift Card that now has a zero value.

View the Balance or Top up an existing TouchStore Gift Card

If you wish to view a Gift Card Balance or you wish to Top Up and existing Gift Card:

  • Sign in to Sales Screen
  • Press Gift Cards

  • Choose Top Up Card
  • Scan TouchStore Gift Card
  • Card Balance shown on the Screen
  • To top up the Gift Card, type in the Value using the customer wants to top up the Gift Card by
  • Press Continue
  • Press Yes to Message
  • You are taken to the payment screen
  • Complete the Sale by taking the payment for the Gift Card

Refund a Sale back onto a Gift Card

If you wish to refund a Sale and the value of that sale back onto a Gift Card:

  • Sign in to Sales Screen
  • Scan Product
  • Press Minus button
  • Press OK
  • Press Thumbs Up
  • Sign in to Sales Screen again
  • Press Gift Cards

  • Press Issue New Gift Card
  • Scan New TouchStore Gift Card
  • Type in the Value of the Refund given
  • Press Enter
  • Press SUB button
  • Press YES to confirm the value of the Gift Card being issued
  • You are taken to the payment screen
  • Press Thumbs up to complete
  • Issue Gift Card to Customer
  • Get Customer to sign one of the Refund Receipts. Keep signed Receipt
